By booking an appointment at Julie Aesthetic Clinic, you (the "Client") formally acknowledge, understand, and agree to be bound by the terms and conditions of this legally binding Cancellation and Deposit Policy. This policy applies to all bookings made online, via messaging applications, or in person.
1. Non-Refundable Booking Deposits
Booking Fee: To secure any appointment slot, a non-refundable deposit of £20 is required upfront.
Payment Processing: Deposits are processed securely through our authorized third-party merchants (Square/Dojo).
Treatment Credit: This £20 fee acts as a commitment bond and will be fully deducted from the final balance of your treatment on the day of your appointment.
Strictly Non-Refundable: All deposits are strictly non-refundable under any circumstances, except where explicitly stated within the permitted 48-hour notice period outlined below.
2. Strict 48-Hour Cancellation & Rescheduling Rule
We enforce a strict, zero-exception 48-hour cancellation and amendment window to protect our specialists' time and clinic operations.
Timely Changes (48 Hours or More Notice): Clients may reschedule or cancel their appointment up to 48 hours prior to the scheduled start time. In this case, the deposit may be transferred to a newly approved date.
Late Cancellations & Amendments (Less than 48 Hours Notice): Any cancellation, request to reschedule, or significant modification made within 48 hours of the scheduled appointment will result in the immediate and total forfeiture of the £20 deposit.
No-Shows: Failure to attend a scheduled appointment without prior notification will result in immediate deposit forfeiture and the restriction of future booking privileges.
3. Policy for Subsequent Bookings (After One Cancellation)
To maintain the integrity of our booking system and protect the clinic from loss of revenue:
First Late Cancellation/Reschedule: If a Client cancels, reschedules, or fails to show up for an appointment just once (1 time) within the 48-hour window, the original deposit is forfeited.
Prepayment Requirement: To secure any subsequent or future appointment, the Client will be strictly required to pay either a new deposit or the full remaining balance (100% of the treatment cost) upfront, at the sole discretion of Julie Aesthetic Clinic.
Forfeiture of Prepayments: Any future full prepayments or subsequent deposits will be 100% non-refundable if the Client again breaches the 48-hour notice window.
4. Legal & Chargeback Protection Clause
Chargeback Disputes: Julie Aesthetic Clinic tracks all digital bookings, confirmation messages, and IP/time stamps.
Merchant Authority: In accordance with the terms of our payment processors (Square and Dojo), any attempt to circumvent this policy by initiating a chargeback or dispute through your bank or credit card issuer will be aggressively contested.
Evidence Submission: The clinic will formally submit this signed/accepted policy, alongside full WhatsApp or SMS communication logs, as definitive proof of service booking and policy agreement to your financial institution.
