By booking an appointment or purchasing a treatment or treatment package with Julie Aesthetic Clinic, the Client acknowledges and agrees to this Deposit, Cancellation, No-Show & Refund Policy.

This policy applies to appointments made online, by telephone, through WhatsApp or other messaging services, or in person.

1. Standard Booking Deposit

A £20 booking deposit is normally required to reserve an appointment.

The deposit secures the appointment time specifically for the Client and, when the Client attends as scheduled, will be deducted from the balance of the treatment.

The deposit is subject to the cancellation and rescheduling terms below.

2. 48-Hour Cancellation & Rescheduling Policy

We require a minimum of 48 hours' notice if a Client wishes to cancel or reschedule an appointment.

48 Hours or More

Where at least 48 hours' notice is provided, the Client may normally transfer their booking deposit to another agreed appointment.

Where a refund is applicable rather than a transfer, this will be dealt with in accordance with the Client's statutory rights and the terms applicable to the particular booking or package.

Less Than 48 Hours

Where an appointment is cancelled, rescheduled or materially changed with less than 48 hours' notice, Julie Aesthetic Clinic may retain the booking deposit and/or apply a reasonable late-cancellation charge.

Any charge will be proportionate to the loss reasonably incurred by the clinic as a result of the late cancellation, taking into account the treatment booked, the appointment time reserved, costs incurred and whether the appointment can reasonably be filled by another Client.

Any booking deposit already paid will be credited towards, and not charged in addition to, the applicable cancellation charge.

3. No-Shows

A no-show occurs when a Client fails to attend their scheduled appointment without providing prior notice.

Appointments are reserved exclusively for each Client. A no-show can therefore result in lost treatment time and loss of income where the appointment cannot be offered to another Client.

In the event of a no-show:

the standard booking deposit may be retained; and

where the clinic's reasonable direct loss from the missed appointment exceeds the booking deposit, an additional no-show charge may be applied.

The total amount retained or charged will not exceed a reasonable estimate of the clinic's direct financial loss arising from the missed appointment.

Where appropriate, the clinic will take into account whether the appointment was subsequently filled or whether other losses were avoided.

4. Treatment Packages & Package Deposits

Payments made towards a treatment package are separate from the standard £20 appointment booking deposit unless expressly stated otherwise at the time of payment.

A package deposit or advance payment will normally remain as credit towards the Client's agreed treatment package.

However, where a Client misses an appointment or cancels/reschedules within the 48-hour cancellation period, Julie Aesthetic Clinic may deduct the applicable reasonable cancellation or no-show charge from any package deposit, advance payment or package credit held on the Client's account.

For example, where a Client has paid a £100 package deposit, the clinic may apply part or all of that £100 towards a missed appointment where the amount applied reasonably reflects the clinic's direct loss resulting from that appointment being reserved and not attended.

Any remaining balance will continue to be held as credit towards the Client's package, subject to the applicable package terms.

A package deposit will not automatically be forfeited in full solely because an appointment is missed. Any deduction will be proportionate to the loss arising from the relevant cancellation or no-show.

5. Repeated Late Cancellations or No-Shows

Following a late cancellation or no-show, Julie Aesthetic Clinic reserves the right to require a higher deposit or advance payment before accepting another booking from that Client.

Where there have been repeated late cancellations or no-shows, the clinic may require full prepayment of the next treatment before reserving further appointment time.

Any such payment remains subject to this policy. If the subsequent appointment is cancelled late or missed, the clinic may retain or deduct an amount reasonably necessary to cover the loss resulting from that cancellation or no-show.

Julie Aesthetic Clinic also reserves the right to decline future bookings from Clients with repeated no-shows or late cancellations.

6. Clinic Cancellations

If Julie Aesthetic Clinic needs to cancel or reschedule an appointment, the Client will not be charged a cancellation fee.

Any booking deposit or advance payment relating to that appointment may be transferred to another mutually agreed appointment.

Where the clinic cannot provide the agreed treatment and a transfer is not appropriate, any refund due will be provided in accordance with the Client's statutory rights.

Nothing in this policy limits a Client's statutory consumer rights.

7. Treatment Package Cancellations & Refunds

Where a Client purchases a course or package of treatments and later wishes to cancel the remaining package, any refund entitlement will depend on the circumstances, including treatments already provided and reasonable costs or losses already incurred by the clinic.

The clinic will not automatically retain the entire unused value of a treatment package simply because the Client requests cancellation.

Where a refund is due, Julie Aesthetic Clinic may make reasonable deductions for treatments already provided and any other loss or costs that the clinic is legally entitled to recover.

8. Chargebacks & Payment Disputes

If a Client believes a payment has been charged incorrectly, we encourage the Client to contact Julie Aesthetic Clinic directly so that the matter can be reviewed promptly.

Where a Client initiates a chargeback or payment dispute, Julie Aesthetic Clinic reserves the right to provide the relevant payment processor, card issuer or financial institution with evidence relating to the transaction.

This may include booking records, appointment confirmations, payment records, acceptance of applicable terms, cancellation records and relevant communications.

The clinic will contest chargebacks where it reasonably believes that a payment or charge was validly due under the agreed terms.

9. Acceptance of This Policy

Clients should be provided with access to this policy before or at the time the booking is confirmed.

By proceeding with a booking after being provided with this policy, and where applicable confirming acceptance electronically, the Client acknowledges the cancellation, deposit and no-show terms applicable to the booking.

Any particularly important financial terms, including cancellation or no-show charges, should be presented clearly before the Client commits to the booking.

10. Exceptional Circumstances

Julie Aesthetic Clinic understands that genuine emergencies can occur.

The clinic may, at its reasonable discretion, waive or reduce a cancellation or no-show charge in exceptional circumstances.

Any decision to do so on one occasion does not waive the clinic's right to apply this policy to future bookings.

11. Statutory Rights

Nothing in this policy is intended to exclude, restrict or override any rights a Client has under applicable UK consumer law, including the Consumer Rights Act 2015.

If any provision of this policy is found to be unenforceable, the remaining provisions will continue to apply to the extent permitted by law.
